Rare Company is built on discretion. Here is what we hold about you, why we hold it, who helps us run things, and the rights you have — written to be read, not skimmed.

Rare Company is the trading name of Ministry Works Ltd, company number 13264840, registered at 41 New Cross Street, Swinton, Manchester M27 4TU. We are the data controller for the personal information described here. Anything in this policy, or anything it doesn't answer: hello@rarecompany.co.uk.
If you enquire or apply. Your name, email address, company and whatever you choose to tell us about your business. We use it to consider your application and to talk to you.
If you subscribe to the monthly brief. Your email address, used only to send it. Every email carries an unsubscribe link, and unsubscribing works first time.
If you join. Membership involves information most businesses keep private, and we treat it that way. This includes:
Payments. Card details go directly to Stripe, our payment provider. We never see or store your card number — we hold only references to your Stripe records and the status of payments.
The website. We use Vercel's privacy-friendly analytics to count visits. No advertising cookies, no tracking you across the internet. The member platform sets only the cookies it needs to keep you signed in.
Four reasons, and UK data protection law recognises each: to perform our contract with you (running your membership, taking payments, keeping signed agreements); our legitimate interests in running a curated private community well (considering applications, composing Circles, keeping records accurate); your consent, where you've given it (the monthly brief); and legal obligations, such as tax and accounting records.
We do not sell personal information. We do not share member lists. And we will not use your confidential financial information, your personal financial information or anything said inside a Circle in our marketing without your express permission — the same promise your Membership Agreement makes.
A small number of service providers process information on our instructions, under contract:
Some of these companies operate partly outside the UK. Where they do, transfers rest on UK adequacy decisions or the standard contractual safeguards data protection law provides. We also share information with the small number of people who deliver Rare Company — a Circle Chair, for instance — and only what they need, under confidentiality obligations.
We may use information in aggregated, anonymised form — member trends, benchmarks, research — only where no individual member or business can reasonably be identified from it.
Applications that don't lead to membership: around twelve months, then deleted. Membership records: for your membership and six years afterwards, the period the law allows claims to be brought. Signed agreements and the record of their signing are kept permanently — they are the evidence of what was agreed, and our systems deliberately prevent them being altered or quietly deleted. Newsletter subscriptions: until you unsubscribe.
You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, object to how we're using it, or ask for it in a portable form. Write to hello@rarecompany.co.uk and we'll respond within a month. Two honest caveats: signed agreements and the accounting records the law requires us to keep cannot be deleted on request, and information you've shared with other members inside a Circle is theirs to hold under the confidentiality obligations every member signs.
If you think we've fallen short, tell us first and we'll put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
